Privacy Policy — The Insight System

1. Who We Are

The Insight System is operated by RoBards Counseling & Consulting, Inc. (“we,” “us,” “our”). Our platform includes: The Insight Game (insight-game.com), Personality Reports (reports.insight-game.com), Talking it Through (talkingitthrough.com), and The Insight Journal (the-insight-journal.us), collectively accessible through insightsystem.ai.

2. Information We Collect

2.1 Information You Provide

Email address (required for account creation)
Name (optional, used for personalization)
Personality assessment responses (36 questions in The Insight Game)
Couples assessment responses (topic-based questions in Talking it Through)
Journal entries and coaching conversations (The Insight Journal)
Profile preferences (goals, life stage, coaching style)
Payment information (processed by Stripe; we do not store card numbers)

Browser type and device information
Usage patterns (pages visited, features used)
Session tokens stored in your browser’s local storage

3. How We Use Your Information

To provide and personalize our services, including AI-generated personality reports, journal coaching, and couples synthesis
To process your subscription and payments via Stripe
To send transactional emails (login links, partner notifications, assessment results)
To send optional engagement emails (you may unsubscribe at any time)
To improve our products and user experience
To maintain security and prevent abuse

4. AI Processing Disclosure

This is important: certain features of The Insight System use artificial intelligence (AI) to generate personalized content. Specifically:

Personality reports are generated using AI (Meta Llama 3.3 70B model) running on Cloudflare Workers AI
Couples assessment syntheses are generated using the same private AI infrastructure
Journal coaching responses and prompts are generated using AI
AI coaching chat in Talking it Through and the Insight Journal uses AI

Our AI infrastructure: All AI processing runs on Cloudflare Workers AI, a private inference platform. According to Cloudflare’s official data usage policy: your content is never used to train AI models, never shared with other customers, and never used to improve any Cloudflare or third-party services. No third-party AI companies (such as OpenAI, Anthropic, or Google) receive your data.

We send only the minimum data necessary for each AI interaction. All processing occurs within Cloudflare’s infrastructure — the same platform trusted by banks, healthcare systems, and governments worldwide. Your full account data is never sent to any external service.

5. Data Storage and Security

Your data is stored in Cloudflare D1 databases within Cloudflare’s global infrastructure
All data is transmitted over HTTPS with TLS encryption
Authentication uses cryptographically signed JSON Web Tokens (JWT)
Passwords (where used) are hashed using PBKDF2 with 100,000 iterations
We implement security headers including HSTS, X-Frame-Options, and Content-Security-Policy
Rate limiting is applied to authentication endpoints to prevent abuse

While we implement reasonable security measures, no system is 100% secure. We cannot guarantee absolute security of your data.

6. Data Sharing

We do not sell your personal information. We share data only in these limited circumstances:

With Cloudflare Workers AI for AI-generated content, as described in Section 4 (your data stays within Cloudflare’s infrastructure and is not shared with third-party AI companies)
With Stripe for payment processing
With Resend for transactional email delivery
With your partner in Talking it Through — specifically, AI-generated synthesis reports that analyze both partners’ responses (individual responses to private questions are not shared)
If required by law or to protect our rights

7. Couples Data — Special Considerations

Talking it Through involves two partners sharing a workspace:

When you invite a partner, they will see your name and that you’ve invited them
Questions marked as “private” are not shared with your partner
Non-private responses from both partners are used to generate a shared synthesis
Both partners can see the AI-generated synthesis for completed topics
Either partner may leave the couple workspace at any time

By inviting a partner, you represent that you have their consent to share their email address with us.

8. Your Rights

Access your personal data by contacting us
Correct inaccurate information through your account settings
Delete your account and associated data by emailing michaelarobards@gmail.com
Export your data in a machine-readable format upon request
Opt out of non-essential emails via unsubscribe links

California residents may have additional rights under the CCPA. Contact us for details.

9. Data Retention

Account data is retained for the life of your account
After account deletion, we remove personal data within 30 days
Anonymized, aggregated data may be retained for analytics
Stripe retains payment records per their own retention policy

10. Children’s Privacy

The Insight System is not intended for users under 18. We do not knowingly collect information from minors. If you believe a minor has provided us with personal information, please contact us immediately.

11. Changes to This Policy

We may update this policy from time to time. We will notify active users of material changes via email. Continued use of the platform after changes constitutes acceptance.
